Overview

Are you a self-starter who thrives in a fast-paced environment? BerryDunn is seeking an organized, proactive, and motivated Proposal Coordinator to support our growing Business Development team. In this role, you will collaborate with highly driven proposal writers as they manage several proposal deadlines—all with the goal of driving the firm’s success. You will also support other team members and initiatives across the Department as opportunities arise.

 

We’re looking for someone who is detail-oriented and organized, as well as adaptable and resourceful—someone who can confidently navigate structured processes while embracing opportunities to innovate and share fresh ideas. In this role, you will manage multiple priorities and deadlines with professional poise, communicate clearly and effectively, and continually seek feedback to improve work quality and efficiency.

This position reports to the Business Development Senior Manager and can be based in our Portland, ME office, another BerryDunn location, or remotely in select cases.

You Will

  • Develop proposal outlines in accordance with prescribed requirements and guidance from the proposal lead
  • Assist in gathering and tailoring content from our proposal library and templates to compose proposal sections and support proposal development activities
  • Create basic informational graphics in Microsoft PowerPoint that align with proposal needs and comply with firm branding, bringing a creative eye where appropriate
  • Conduct web-based research on prospective clients to guide writers’ proposal development content strategies
  • Prepare templated documents and materials to support writer activities and team workflows
  • Manage your time effectively to meet deadlines and balance multiple priorities in a fast-paced environment
  • Review drafted proposals for clarity, technical accuracy, continuity, readability, and (most critically) compliance with prescribed requirements
  • Support content management activities by compiling, drafting, and submitting entries to our proposal library
  • Track and maintain opportunity data in Salesforce with accuracy and attention to detail
  • Seek and apply feedback to continuously improve the quality, efficiency, and impact of your work
  • Contribute to other team and departmental projects as needed, demonstrating flexibility and a willingness to step in where needed

You Have

  • Bachelor’s Degree in Communications, Marketing, English, Journalism or related area or equivalent work experience
  • Excellent writing, editing, organization, analytical, and interpersonal skills
  • Strong attention to detail and a commitment to producing high-quality work
  • The ability to work independently and manage your time effectively in a fast-paced, deadline-driven environment
  • A collaborative mindset and the ability to work effectively with remote team members across time zones and with varying workstyles
  • Proficiency in Microsoft O365 suite, including Outlook, Word, PowerPoint, and other applications
  • A willingness to follow structured processes while remaining flexible and open to feedback and continuous improvement

 

Preferred:

  • Demonstrated success managing competing priorities and meeting strict deadlines
  • Strong problem-solving and critical-thinking skills
  • A self-motivated, curious mindset with a desire to grow and develop within the field
  • Familiarity with Salesforce or other customer relationship management (CRM) platforms

Compensation Details

The hourly rate for this role is $25 to $27 per hour. This rate range represents BerryDunn’s good faith and reasonable estimate of the possible compensation at the time of posting. If an applicant possesses experience, education, or other qualifications more than the minimum requirements for this posting, that applicant is encouraged to apply, and a final rate may then be based on those additional qualifications; compensation decisions are dependent on the facts and circumstances of each case. The hourly rate for the finalist selected for this role will be based on a variety of factors, including but not limited to, years of experience, depth of experience, seniority, merit, education, training, amount of travel, and other relevant business considerations.
