We are seeking a passionate Senior Events and Sponsorships Specialist to join our fast-moving, high-volume Marketing Team. We manage and host over 100 events a year along with a growing portfolio of annual sponsorships. In this position, you will work with a dynamic team to plan and execute internal and external events, sponsorships, and other high-profile marketing projects. 

Responsibilities

You will:

  • Support the full lifecycle of strategy, planning, and execution for trade shows, conferences, and hosted events. 
  • Develop creative briefs to communicate event scope, budget, and details to share and communicate to stakeholders across the Firm. 
  • Coordinate on-site event needs (collateral, giveaways, banners and booth elements, etc.). 
  • Secure sponsorship/exhibit booth contracts, register event attendees 
  • Research and secure event-related goods and services, including venue, catering, A/V, etc. 
  • Submit logos and corporate descriptions for events, sponsorships, and memberships as needed. 
  • Conduct event debrief meetings, report on KPIs, and share reports to key stakeholders. 
  • Develop event-related content development for web, email, and social media. 
  • Manage speaking abstracts submission and presentation development for hosted and industry events. 
  • Maintain event- and sponsorship-related information across internal project management, marketing, and CRM systems; assist with analysis to support decision-making. 
  • Provide on-site hosted event support, including transporting and distributing promotional materials, loading and managing laptops for presentations, staffing registration during events, and providing onsite speaker support at live events and webinars 
  • Provide onsite support for select tradeshows and events. 
  • Serve as point of contact for industry association memberships and identify opportunities for leveraging marketing and event benefits. 
  • Assist with other marketing projects, as needed. 

  

Qualifications

You have:

  • 3-5 years of experience with events planning and execution. 
  • Experience working with multiple clients and prioritizing work as needed. 
  • Bachelor’s degree in Marketing, Communications, Business Management or similar. 
  • Ability to develop rapport and trust with team members, colleagues, and vendors. 
  • Customer-service focus with experience supporting internal and external clients. 
  • Strong communication and project management skills.  
  • Confident self-starter with a great work ethic and ability to set priorities and deadlines. 
  • Strong MS Office skills, including Word, PowerPoint, Excel (Office 365). 
  • Strong content and presentation development skills.  
  • Highly organized with excellent time management skills to handle competing priorities successfully. 
  • Unwavering attention to detail and committed to delivering high-quality work. 
  • Experience with collaboration and automation tools such as Microsoft Teams, project management (Wrike, Basecamp, Workfront, etc.), marketing automation (Hubspot, Pardot, etc.), and digital asset management (Canto, Bydner, etc.). 
  • Ability to thrive in a fast-paced environment that requires both independent and team-based, collaborative work. 

 

Hours/Travel

  • This is a full-time, hybrid role with hours Monday-Friday, 8am-5pm, with some evening and weekend work to be expected. 
  • Office locations in Portland, ME; Bangor, ME; Boston, MA; and Manchester, NH. 
  • Some lifting (up to 50 lbs.) likely. 
  • Note: There will be occasional travel (~10%) for select events each year, to be mutually agreed upon.
